Job Details:

Reports to the Supervisor, Production Services. This position is responsible for preparation and mailing of claims and patient statements, processing system edits, mail distribution and metering mail.

PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:

  • Reviews edit lists and identify claims that need documentation, attachments, etc.
  • Responsible for system error edit corrections. Identifies and reports reasons for edit, bill production and report holds to Supervisor on a daily basis.
  • Reviews edit lists to identify claims needing attachments.
  • Responsible for the preparation and mailing of third party claims.
  • Notifies Supervisor of any deficiencies, trends, etc. in production activities.
  • Identifies claims needing corrections and submits to the appropriate department.
  • Directs production control clerks, keeping daily logs and production reports. Delegates and monitors the production control clerk activities: delivery of bank deposit; distribution of incoming fax; pick-up and delivery of Hospital/Department mail; processing of daily lockbox mail and maintains updated listing of locations for daily Hospital/Departmental mail run route.
  • Monitors the timely preparation and mailing of patient statements.
  • Researches unidentified mail to determine who is to receive it.
  • Maintains the master copy of the lOX and SMS reports. Reviews printed reports to ensure that complete and readable reports will be available for use by the Patient Accounts office.
  • Contact person for network problems for Patient Accounts. Notifies the Network Analyst of system related problems.
  • Resolves production related items that are not present, but required to produce claims, statements, etc.
  • Completes daily productivity reports.
  • Complies with quality improvement and feedback initiatives as designated by management.
  • Meets all monthly and year end fiscal closing deadlines as they relate to the production service process.
  • Reports production related trends and issues to Team Leader.
  • Works closely with team members to maintain and monitor the integrity of the production service process.
  • Provides back-up coverage for other team members in case of absence.
  • Performs other job related duties and assignments as needed and requested by management.
Job Qualifications:

JOB KNOWLEDGE AND SKILLS:

  • Knowledge of current third party billing and collection regulatory guidelines and requirements is preferred.
  • Ability to learn word processing, database and spreadsheet software programs.
  • Ability to use a calculator, copy machine, and mail folding/stuffing machine.
  • Good interpersonal and communication skills and basic understanding of team management concepts.

EDUCATION:

  • A high school diploma or GED completion is required.

EXPERIENCE:

  • Minimum of two years experience in a production services environment, preferably within a large volume physician practice or medical billing office.
  • An equivalent combination of education and experience, which provides proficiency in the areas of responsibility listed above, may be substituted for the above education and experience requirements.

WORKING CONDITIONS/PHYSICAL DEMANDS:

  • Works in a normal office environment with little discomfort due to dust, dirt and the like.
  • Frequent contact with departmental employees.
